What is a Stocktake?

A stocktake is the process of counting all inventory and updating your system so stock on hand (SOH) is accurate.


The 5 Phases of a Stocktake

1. Preparation (Weeks before)

Clean your data before counting:

  • Fix incorrect stock on hand
  • Remove false out-of-stocks
  • Investigate negative stock

Most stocktake issues come from poor preparation.


2. Setup

  • Create ONE stocktake
  • Ensure correct date
  • Structure inputs correctly

3. Counting (Execution)

  • Use PDE devices to scan and count
  • Each count is saved as an “input”
  • Inputs must be clearly named and linked to sections

4. Validation

  • Run reports
  • Identify errors (high/low values, incorrect counts)
  • Fix using manual inputs

5. Finalisation

  • Close stocktake
  • Set stock counts
  • Update system inventory

Biggest Risks

  • ❌ Multiple stocktakes → breaks reporting
  • ❌ Poor naming → impossible investigations
  • ❌ Skipping preparation → inaccurate valuation
  • ❌ Not validating → major stock errors
